2018 Toronto Rotaract Host Organizing Committee Events
(2018 Rotaract HOC)
Terms and conditions: The terms and conditions are applicable to all registrants, regardless of nationalities or country of residence, registering for the 2018 Toronto Rotaract Host Organizing Committee packages/events (herein “2018 Rotaract HOC” events).
ALCOHOL CONSUMPTION: The legal drinking age in Toronto, Ontario, Canada is 19. Please be advised that there will be an ID check at some of the events, and that failure to properly display Government-Issued ID may result in a non-entry. No refund will be issued. If you are under the legal drinking age at the time of an event where alcohol is being served, you will not be served alcoholic beverages.
ALLOWANCES: No allowances can be made for meals or material portions of packages not taken during the stay or if departure is made before the end of the stay booked.
CURRENCY: The official currency of Canada is the Canadian dollar (CAD) all packages and à la carte events are payable in CAD. The 2018 Rotaract HOC is not responsible for the exchange rate at the time of purchase as calculated by Eventbrite and/or your credit card issuer. For packages/events purchased on-site no exchange of foreign currency will occur.
CANCELLATION AND REFUND POLICY: Cancellations are allowable until 30 days before the event occurs. In the case of packaged events, 30 days refers to the date of the FIRST event in that package. Cancellation requests made within 30 days of the start of the event/package must be made through the 2018 Rotaract Host Organizing Committee (2018 Rotaract HOC) by email. Refunds will be paid at the discretion of the 2018 Rotaract HOC Chairperson and will only be paid if the project breaks-even financially. All refund payments will be processed no later than August 31, 2018.
If a refund is granted for cancellations requests made within 30 days of the start of the event/package, a $25.00 (CAD) fee will apply.

Registration Fee for PreCon Only Package:
1ST Batch: March 1, 2018 to March 31, 2018 – $140.00
2ND Batch: April 1, 2018 to June 20, 2018 – $155.00
Registration Fee for Full Event Package:
1ST Batch: March 1, 2018 to March 31, 2018 – $210.00
2ND Batch: April 1, 2018 to June 20, 2018 – $250.00
A la Carte Event Fees (Sales for à la carte events begin on March 1, 2018 and end on the day of the event, unless venue capacities are reached ahead of the event):

Friday, June 22, 2018 – One Starry Night: $20.00
Saturday, June 23, 2018 – Rotaract 50th Anniversary Gala Dinner: $110.00
Sunday, June 24, 2018 – Love is Love Evening: $35.00
Monday, June 25, 2018 – Rock ’N’ Rotaract: $55.00
Tuesday, June 26, 2018 – ROTARYFEST* (sold by the Rotary HOC): $90.00
Wednesday, June 27, 2018 – Karaoke Time: $20.00
*If purchasing an à la carte ticket to the ROTARYFEST event through the Rotary HOC website, please note that their cancellation and event sign-in policies supersede our own. The 2018 Toronto Rotaract Host Committee is not responsible for purchases made through the Rotary HOC.
PACKAGE AVAILABILITY: All packages subject to availability and number of delegates registered. The prices are determined by reference to the prices of the event, the transaction fee and taxes in force at the date of your order. The price is displayed on the website and we may change the price at any time before you place your order. No credit terms are available.
No packages will be available for purchase online after June 20, 2018.
Availability permitting, à la carte event tickets will be sold at the 2018 Rotaract HOC table during the Rotaract Preconvention. To avoid disappointment, please have Canadian (CAD) currency available as the use of credit cards will only be accepted at the 2018 Rotaract HOC table during the Rotaract Preconvention and WILL NOT be accepted at the door of an event.
Youth Protection: For individuals under the age of 18, you are required to be accompanied by an adult chaperone at all times when attending any of the 2018 Rotaract HOC events. The 2018 Rotaract HOC is not responsible for the supervision/chaperoning of youth under the age of 18. If you are under the age of 18, we will be in contact with you and your guardian(s) to explain these policies more clearly and we will require a consent form to be signed before you will be allowed to participate in any of our events.
COLLECTION OF WRISTBANDS: For all package events, you will be required to pick up a wristband before the start of the first event OR at the designated 2018 Rotaract HOC table at the Rotaract Preconvention. Having a wristband will speed up entry as we will not have to check you in for each individual event. If you lose or forget your wrist band, you will have to wait in line to be checked-in manually at each event included in your package.
EVENTBRITE TICKETS FOR A LA CARTE EVENTS: If you have purchased events à la carte, you will not be required to wear a wristband. You will be checked-in at each individual event.
DAMAGES: The Management of event venues and 2018 Rotaract HOC Chairperson reserve the right to demand that delegates pay for any damages caused to any venue property or conference equipment.
MISCONDUCT: The Management of event venues and 2018 Rotaract HOC Chairperson reserve the right to ask a delegate leave the premises should the delegate be unable to correct any aspect of poor or unacceptable behaviour. No refund will be given.
PHOTOGRAPHY: Throughout the Rotaract Social Events a photographer will be present taking photos of each activity. All photography and videography may be used for future PR purposes. Entry to all events assumes reproduction and publishing rights of delegate images.
PROPERTY & VALUABLES: The 2018 Rotaract Host Organizing Committee and any of the affiliated event venues/management does not accept responsibility for the loss of or damage to delegates’ property. Delegates are advised that any valuables should be locked in a safety locker/safe.
SMOKING: You are not permitted to smoke inside any of the venues used during Preconvention, according to Canadian law. Some buildings also do not permit smoking within 50m of the building, so please be advised.
Cancellation of the Conference: in the event that the conference cannot be held or is postponed due to events beyond the control of the conference organizers (force majeure – for illegal, impossible, or commercially impracticable reasons) or due to events which are not attributable to wrongful intent or gross negligence of the conference organizers, then conference organizers cannot be held liable by attendees for any damages, costs, or losses incurred, such as: transportation, accommodations, etc. Under these circumstances, the conference organizers reserve the right to either retain the entire registration fee and to use it for a future conference, or to reimburse the attendee after deducting costs already incurred for the organization of the conference and which could not be recovered from third parties.
The 2018 Rotaract Host Organizing Committee reserves the right to alter details regarding entertainment, sightseeing or meals without notice.
